Simple Tips and Tricks for Productivity using Technology
In an increasingly digital world, it is important to plan your time well. It is difficult to distinguish between time spent working or being productive from wasting time. You might find yourself spending too much time on a task that would have taken you minutes, while you could have used that time to perform other duties.
In this blog, we are going to share some applicable tricks to ensure you maximize your productivity.
- Automate where possible
Technology enables you to get rid of repetitive tasks and also gives you or your team time to do more complex or necessary tasks.
Some of the ways you can automate your tasks include:
- Scheduling emails – in Gmail and Office 365, there is an option to schedule your emails. Assuming you have a specific time where you prefer sending out emails, you can schedule all your emails at the same time thus not having to think about it again.
On the drop-down menu on send option, there’s an option to select a time to send an email both on Gmail and Office 365.
- Social media scheduling tools – You can work on all your social media posts at a specific time and schedule them to send out at a specific time
- Use collaborating tools
Depending on what you want to achieve, there are quite a number of available collaborative tools. The most incredible news is, most of them are free and affordable to use.
Examples:
- Trello – A visual work management tool that allows a team to plan, coordinate and work in an organized way.
- Google Drive – A cloud computing service that offers storage online, enabling you to work online with productivity apps like Google Docs, Sheets, and Slides.
- Learn the shortcut keys of your operating system
Using keyboard shortcuts gives you the ability to work faster, recover something, and generally help you to be more productive.

- Separate user profiles on your computer/device
Both Mac and Windows operating systems allow someone to create separate user profiles. Using this option, you can set a user profile specifically for work. This allows you to ensure you separate work from personal use This is most important if you share your computer with family or others.
- Store everything in the cloud
Google Drive is one of the most available and usable cloud-based storage solutions.
The cloud basically refers to servers that can be accessed through the internet.
Dropbox is another popular cloud computing tool that can be used for file-syncing, storage and collaboration.
- Outsource your tasks to skilled professionals
We all have some tasks that we either don’t have time to perform or we don’t have expertise in. Outsourcing them has many advantages including getting expertise knowledge, cost-saving and faster work delivery.
- Unplug yourself from the internet
Our daily lives are slowly being taken over by technology, but that doesn’t mean its the norm.
Take some time away from your gadgets and do something else – take a walk, spend time with your loved ones – whatever floats your boat!
